Speed to lead: why the first reply decides who books
Most med spas don’t have a lead problem. They have a reply problem. Here’s how to find yours and fix it this week.
Someone sees your post, taps the link, and sends a message: “How much is Morpheus8?” At that moment they’re interested, a little nervous, and almost certainly asking two or three other places the same question.
The spa that answers first, clearly and warmly, usually gets the consult. Not the cheapest one. Not the one with the best before-and-afters. The one that showed up while the person still cared.
Where replies get stuck
When we review a med spa’s lead flow, the delays almost always come from the same few places:
- The front desk is with patients. The people best at answering are busy doing the job you pay them for.
- Messages are scattered. Instagram DMs, Facebook, website forms, Google messages, voicemail and texts all live in different apps, and nobody owns all of them.
- After hours is nobody’s job. Evenings and weekends are when people browse. Those messages wait until morning.
- The reply doesn’t move them forward. “Prices vary, come in for a consult!” answers the question without making booking easy.
Find your number
Before changing anything, measure it. Ask a friend to send an inquiry through each of your channels at different times: a weekday afternoon, an evening and a Saturday. Write down three things for each one:
- How long until a real reply arrived.
- Whether the reply answered the actual question.
- Whether it offered a specific next step, like a link to book or two open times.
That’s a mini mystery shop, and it tells you more than any dashboard.
Quick fixes you can make this week
- Pick one inbox. Route every channel into one place your team checks, even if it’s just a shared phone with notifications on.
- Write three saved replies. One for pricing questions, one for “do you do X,” and one for booking. Each should end with a link or two specific times.
- Cover the gaps. Decide who watches messages after hours, or set an honest auto-reply that says when a person will respond and links to online booking.
- Make the next step obvious. Every reply should make it easy to say yes.
